Waterloo Branch - Service Manager | Full Time

Role/Function: Manage all facets of the service department operations in a professional agricultural
equipment repair facility.

Duties & Responsibilities:
 Ensure incoming service department phone calls are answered promptly and professionally.
 Return all customer messages by the end of same business day
 Dispatch work order assignments to appropriate skill level service technicians.
 Provide direction, instruction, and guidance to all technicians as needed to effectively complete
assigned repairs.
 Implement team building activities, such as daily meetings discussing progress of current repairs.
 Create and utilize an assignment board for technicians. Stage assignments in advance.
 Appropriate use of Empire Tractor information and technical resources.
 Coordinate efforts with Corporate Service Manager to develop staff as well as talent
acquisition/recruitment efforts.
 Create sound and fair repair quotes for all service activities.
 Provide repair progress to customers as needed – specifically delayed repairs.
 Communicate the necessity for additional repairs to customers as needed.
 Oversee the opening and closing of all point-of-sale service work orders. (WIP Management)
 Manage open work orders with a target close of 45 days post opening.
 Hold technicians accountable and ensure their repair notes justify the labor on the work order.
 Utilize billing resources to ensure customers are aware of the completion of their work. Implement
usage of the KENECT app.
 Ensure billing on work orders are accurate and complete. Verify that explanation of work is
clearly outlined on the work order/invoice.
 Submit all warranty work order paperwork to ET warranty processors within 7 business days of
warranty work completion or last date of labor on the work order.
 Identify technician training needs within applicable products supported by Empire Tractor.
 Continually challenge service technicians to work out of their comfort zones.
 Ensure service department site operation is in alignment with Empire Tractor vendors and
manufacturers stated in the service department qualifications and training requirements.
 Maintain service department library for products supported by Empire Tractor.
 Manage the usage of service vehicles at respective Empire Tractor service site. All vehicles are to
be kept clean and net at all times, including the interior and exterior of the vehicle.
 Manage usage of lifting equipment. Keep in safe and ready operating condition.
 Resolve customer service grievances relevant to billing concerns within the service department.
(Consult with Site Supervisor, Store Manager or Corporate Service Manager as needed.)
 Maintain oversight and control of all service department consumables and shop supply expenses.
 Explore cost savings opportunities without sacrificing quality of workmanship.
 Take active part with regards to service staff performance evaluations, staff performance
warnings, staff dismissal proceedings, candidate interviews and staff on boarding procedures.
 Ensure all Empire Tractor owned tools and equipment are used safely and maintain/serviced as
needed.
 Maintain, archive, and organize literature and information relevant to the US DOT, OSHA, EPA
and EEOC/ADA. Ensure this literature is current along with any other chemical or safety
information Empire Tractor keeps for reference.

Position Expectations:
The Service Manager is expected to be a professional that leads by example. As the most visible figure of
the service department, this position requires positive communication skills, understanding, and careful
thinking. The Service Manager is a “central hub” of communication for many of our departments and
staff and will interface with staff of varying skill sets and experience levels. The Service Manager is to
apply the best use of service staff talents in the interest of maintaining customer satisfaction and Empire
Tractor service department profitability.

Batavia Branch - Service Writer | Full Time

Role/Function: Work with Service Manager to open, assign, process and close all work orders. Ensure
accuracy of billing on the work order before they are closed and invoiced. (Customer, warranty, internal)

Duties & Responsibilities:
▪ Answer incoming phone calls with positivity and a customer-friendly tone. Manage phone calls
with Service Manager.
▪ Return all customer phone calls by the end of same business day.
▪ Ensure the accurate charges are applied to each work order repair and edit work type codes as
needed.
▪ Confirm ancillary charges are applied to each work order. Ensure labors status codes are correct.
▪ Ensure all warranty repair work orders are submitted to Empire Tractor Warranty Administrator
for processing within 7 business days of last date of labor on work order. Populate Empire Tractor
Warranty Sheet.
▪ Complete weekly service department filing and archiving activities, including work order and
repair records.
▪ Understand how to utilize all vendor online resources relevant to service materials.
▪ Assist Service Manager and service technicians as needed with identifying and printing service
bulletins for product repairs, warranty repairs, and technical vendor product improvements.
▪ Work with Service Manager to communicate the diagnosis of additional repairs needed on
customer repair work.
▪ Monitor repair completion processes in shop to ensure the timely closure of all work orders.
(Target work order closure: Close work orders within 10 days after the last date of labor punch).
▪ Update customers with equipment repair status and costs.
▪ Discuss and review payment methods with customers prior to release of any repaired equipment.
▪ Review each work order as submitted by technicians for completeness, accuracy. Confirming the
repair notes justify the labor involved for the repair segment. Ensure the CCCC story is complete
on all work orders. (Complaint, Cause, Correction & Casual part numbers)
▪ Work with Service Manager to maintain a clean and professional looking service department and
office.
▪ Arrange the delivery of all customer equipment purchases.
▪ Ensure appropriate ET sales team/sales persons are aware of all product deliveries to ET
customers.
▪ Coordinate associated paperwork specific to the receipt of new whole goods equipment at the
Batavia site (packing lists & bill of laden). Ensure completeness of unit information and status in
DIS computer system.
▪ Apply tag numbers to received whole goods inventory at the Batavia site. ▪ Perform other service department and clerical office responsibilities as identified by Service
Manager.
▪ Work with Service Manager to maintain and adjust scheduling of jobs, follow up on ordered parts
for service work orders, and ensure all jobs are followed through smoothly to completion.
▪ Communicate with professionalism to all Empire Tractor customers, staff and vendors.

As one of the most visible members to the public, this role must represent Empire Tractor with the utmost
professionalism and treat everyone outside of Empire Tractor as a potential customer. Safety must be on
the forefront of every decision.
